Hotel Rate Threshold - Operator Users

Administrators can set hotel rate limitations to assist with expense management

Operator Administrators can set a maximum rate amount not to be exceeded when account users book hotel rooms.

Alert: Setting this threshold will not prevent a user from completing a booking but will generate an exceeds threshold warning, as well as prompt the user to enter a comment in order to proceed.


Add a Hotel Rate Threshold

  1. Go to Setup > Company Preferences
  2. Enter the Hotel Rate Warning Threshold amount you do not want to exceed per room night for each individual booking
  3. Enter the Hotel Total Warning Threshold for the total booking amount including multiple rooms nights and multiple guests
  4. Enter the Hotel Warning Email Address of the administrator who wishes to receive the communication any time the threshold amount is exceeded
  5. Save Preferences


Over Threshold Hotel Booking

When an account user selects a hotel room rate that exceeds the threshold limit, they will see a warning appear on the booking screen.  They may proceed to complete the booking.

A warning pop up box will appear prompting the user to enter a comment for justification of exceeding the threshold, then continue with the booking.


Upon booking confirmation, an email will be generated from FlightBridge Customer Service to the administrator, containing the booking details, the Booking Approval Notes entered by the user and a link to view the reservation within FlightBridge.


Setting a Max Percentage Above Lowest Rate

Operator Administrators can set a threshold that would display rates at a max percentage above the lowest rate available at a property when account users book hotel rooms. To set:

  1. Go to Setup > Company Preferences
  2. Enter the Hotel Warning Email Address of the administrator who wishes to receive the communication any time the threshold amount is exceeded
  3. Enter a percentage into the Max % Above Lowest Rate Allowed field. In the below example 0.050 is entered to show only rates that are up to 5% higher than the lowest rate available.
  4. Save Preferences

Once the percentage rate is set, only rates up to the set max percentage will appear on the "Select room type" section of the hotel booking screen. If a user wishes to see additional rates, they can select the Show outside of policy room types link.

Additional room types will appear will be labeled as being .

Delete
